SPOL is an excellent tool to support your planning, budgeting, and accreditation processes when carefully and thoughtfully implemented.
Through the Supported Implementation process I seek to learn about your college or university culture, your existing processes, and your institutional goals – the reasons that you chose SPOL and the desired state you wish to achieve through its use. We will then work together to determine the optimal way to set up your system and initial data, any process issues to be addressed, and instructions that we will provide to your users so that they will use SPOL appropriately. We will accomplish this through a series of conference calls where your implementation team will meet in a room with a computer and projector while I walk you through parts of the system, asking questions to spark your thinking and answering any questions that you have. Through this process you will begin to learn how to use SPOL, and you will gain clarity on how to pull together the necessary data to be imported into SPOL to initialize it. If you feel comfortable importing the data yourself, you may do so. Otherwise, I’ll import the data for you.
Working on your timeframe, we will schedule a series of six conference calls to discuss all elements of your planning and budgeting processes. It’s best to schedule the conference calls one week apart, allowing you time to gather data in between, but the timeline can be compressed if needed to meet your deadline.
Conference call schedule:
System & Planning Module Set-Up
Call 1: Users and Planning Units
Call 2: Planning Processes
Call 3: Miscellaneous planning details
Budget Module Set-Up
Call 4: Chart of Accounts
Call 5: Budget Prep Processes
Call 6: Miscellaneous budget details*
Invite the members of your implementation team to each call, and plan on two hours per call – although we can typically cover the material in 60-90 minutes. Prior to most calls I will send you an explanation of each of the data elements that we will cover, along with worksheets for you to fill in with decisions and issues concerning each data element. During each call I will ask you to logon to a live SPOL system, while I also logon from my location. (It’s desirable to choose a room with projection capabilities so that all participants can view the screen.) I will then walk you through the screens you saw in the demo with Think Education Solutions, taking time to allow for in-depth discussion of each data element to be covered in that session.
The purpose of the discussion is to allow you to come to at least some preliminary decisions about how you will put SPOL into practice. The decisions are yours to make; I will provide you feedback and examples about how others schools have used the system and practices that I know to have been successful.
Total cost for Supported Implementation of planning, budget, and accreditation modules is $3,750.
Total cost for Supported Implementation, including assessment module, is $5,500.
Once your system has been set up and populated with data, you’ll be ready to begin user training.
* This call is not always needed. We schedule it to ensure that we have adequate time to cover all details.
